PRIVACY POLICY
How we collect, use and protect your information when you get in touch or book with us.
Idloes Stage Crew ("we", "us", "our") is a sole trader business owned and operated by Steve Bullocks, trading from Cwmdu, Llanidloes, Powys, SY18 6DL. This policy explains how we collect, use and protect your personal information when you visit idloesstagecrew.co.uk or get in touch with us about event crew, staging, AV or logistics work, in line with the UK GDPR and the Data Protection Act 2018.
1. Information we collect
We collect personal information you give us directly, and a small amount collected automatically:
- Enquiry and contact form details — your name, email address, phone number, and any information you choose to share about your event (such as date, event type and message), submitted through the forms on our Contact page.
- Booking and invoicing details — if your enquiry becomes a booking, we may also hold event location, timings, and billing information needed to deliver the work and issue invoices.
- Payment information — if you pay a deposit or invoice through the site, your card details are collected and processed directly by our payment provider, Stripe. We do not see or store your full card number.
- Technical information — standard web server logs and basic anti-spam data (such as your IP address and timestamp) recorded automatically when you submit a form, used only to keep the site secure and stop spam.
2. How we use your information
We use your information to:
- Respond to enquiries and provide quotes for crew, staging, AV and logistics services;
- Arrange, deliver and manage bookings you make with us;
- Take payment for deposits and invoices via Stripe;
- Keep records required for accounting, tax and insurance purposes;
- Protect the website from spam and abuse; and
- Comply with our legal obligations.
Our legal basis for this is: contract (to arrange and deliver a booking you've asked for), legitimate interests (responding to enquiries, keeping the site secure), and legal obligation (keeping financial records). We only rely on consent where we specifically ask for it, and you can withdraw it at any time.
3. Who we share it with
We don't sell your personal information. We share it only where necessary, with:
- Stripe, to process card payments and deposits securely (see Stripe's Privacy Policy);
- our email and hosting providers, who process messages and store website data on our behalf; and
- any subcontracted crew members, venues or suppliers where this is necessary to deliver your booking.
We'll only disclose information to anyone else if we're required to by law, or to protect our legal rights.
4. International transfers
Some of the providers we use, including Stripe, may process data on servers outside the UK. Where this happens, we rely on providers who maintain appropriate safeguards, such as Standard Contractual Clauses, to protect your information to UK standards.
5. How long we keep it
We keep enquiry details for as long as reasonably needed to respond to you and follow up, and delete them if no booking follows, normally within 12 months. Where an enquiry becomes a booking, we keep contract and financial records for at least 6 years, as required by HMRC.
6. Cookies
Our website uses a small number of cookies, including third-party cookies set by an embedded Google Map on our Contact page. Full details, including how to control them, are in our Cookie Policy.
7. Your rights
Under UK GDPR, you have the right to:
- ask us what personal information we hold about you, and get a copy of it;
- ask us to correct anything that's inaccurate or incomplete;
- ask us to delete your information, where we no longer need it;
- ask us to restrict or object to how we use it;
- ask for your information in a portable format; and
- withdraw consent, where we're relying on it.
To exercise any of these rights, contact us using the details below. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113, though we'd always welcome the chance to put things right first.
8. Keeping your information safe
We take reasonable technical and organisational steps to protect the personal information we hold, including secure hosting and never storing full card details ourselves.
9. Children's information
Our services are aimed at event organisers, venues and promoters, not children. We don't knowingly collect personal information from children.
10. Changes to this policy
We may update this policy from time to time, for example as our services or the law change. The date at the top shows when it was last updated.
